SASMAR is on the lookout for an enthusiastic Office Administrator to join our vibrant team in the heart of Ta' Xbiex, Malta. As the Office Administrator, you will be instrumental in ensuring the smooth functioning of our office environment and will support various departments in their administrative needs. This position demands excellent organizational skills, a proactive mindset, and the ability to foster a welcoming workplace culture.

Responsibilities

  • Oversee the daily administrative operations of the office to ensure a productive work environment.
  • Coordinate scheduling for meetings, appointments, and company events.
  • Manage incoming phone calls and correspondence, providing exceptional communication.
  • Assist with travel planning and logistics for employees attending conferences and meetings.
  • Prepare documents, reports, and presentations to support departmental functions.
  • Support the HR team in managing employee onboarding and training.
  • Maintain an organized filing system for physical and electronic documents.
  • Facilitate coordination with external vendors for office supplies and maintenance.
  • Help in organizing internal team-building activities and events to enhance company culture.
  • Proven experience as an office administrator or in a related administrative role.
  • Proficient in using Microsoft Office Suite and Google Workspace.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Able to manage multiple tasks and adhere to deadlines efficiently.
  • Professional demeanor and ability to maintain confidentiality.
  • Experience with travel coordination and event planning is a plus.
  • Ability to work independently as well as collaboratively within a team.
  • Familiarity with office management systems and procedures.
  • Demonstrated ability to take initiative and solve problems effectively.
