HR Operations
- Prepare and distribute a range of HR documents such as appointment letters, transfer letters, exit letters, and other employee related communications.
- Develop and uphold standardised procedures and workflows to optimise HR operations.
- Coordinate with government bodies and external vendors to ensure prompt submission and processing of work pass applications.
- Assist other HR functions and address employee inquiries and issues related to HR administration.
Data Management
- Keep employee personal files accurate and complete with all necessary documents.
- Ensure the HRIS system has current and correct employee data.
- Gather organisational charts and other details from business units.
Reporting & Surveys
- Generate and compile reports on HR metrics such as headcount, turnover, and workforce analytics to support decision-making and provide insights to management.
- Coordinate and facilitate the completion of HR-related surveys, including statutory surveys.
HR Projects
- Continuously seek ways to improve, automate, and standardise HR shared services for better operation and cost efficiency.
- Engage in projects to upgrade HR systems and processes.
- Work with cross-functional teams to apply best practices and unify HR processes across the company.
- Assist with HR projects and company events as and when required.
Diploma in Human Resources, Business Administration, or a related discipline.
- At least 3 years of experience in HR shared services or operations management.
- Skilled in using HRIS systems and Microsoft Office (Word, Excel, PowerPoint).
- Strong communication and interpersonal abilities, capable of engaging with stakeholders at all levels.
- Fluent in written and spoken English and Chinese (for communication with overseas Chinese colleagues).
- Ability to perform effectively in a fast-paced setting.
- Maintains high standards of integrity, discretion, and confidentiality when managing sensitive HR information.
- Collaborative skills to work with different departments and functions to fulfil HR-related tasks.
