They are a fast-growing holistic wellness and longevity center specializing in neurodegeneration, regenerative medicine, and naturopathy. Led by a dynamic, highly engaged CEO, the company is expanding rapidly, growing from $2.8M in revenue (2023) to $5M (2024).  As part of this rapid expansion, they are seeking a high-performing Remote Executive Assistant / Chief of Staff to support the CEO in scaling operations, managing projects, and optimizing workflows

About the role:

This role is not a traditional administrative assistant position—they are looking for a highly proactive, solutions-driven Chief of Staff-style EA who can work independently, anticipate needs, and thrive in a fast-paced, startup-like environment. 

The ideal candidate will be a strategic partner to the CEO, ensuring his time is optimized, projects move forward efficiently, and day-to-day operations run smoothly. This person must be comfortable working in an ambiguous, high-growth setting where priorities shift rapidly.

Key Responsibilities:

  • Serve as the CEO’s right hand, ensuring priorities are managed effectively 
  • Anticipate needs, troubleshoot challenges, and offer proactive solutions 
  • Manage complex scheduling, calendar optimization, and meeting preparation 
  • Act as a liaison between the CEO and key stakeholders 
  • Own task management and follow-ups using Asana (or similar PM tools) 
  • Ensure meeting action items are captured and executed promptly (within 24-48 hours, 
  • not days) 
  • Improve and streamline processes to enhance efficiency and scalability 
  • Work cross-functionally with sales, marketing, and leadership teams 
  • Communication & Problem-Solving 
  • Draft high-quality emails, reports, and internal communications 
  • Independently resolve issues before they escalate to the CEO 
  • Make decisions and execute tasks without needing constant oversight 
  • Bring well-thought-out solutions when seeking approval or feedback 
  • Coordinate the CEO’s frequent travel plans and event schedules 
  • Ensure seamless logistics for speaking engagements, conferences, and podcast

  • Be available to support time-sensitive travel adjustments as needed
    • 3+ years of experience as an Executive Assistant, Chief of Staff, or similar role 
    • Background in a fast-paced startup, VC firm, or high-growth company 
    • Experience with Asana, Slack, Notion, Google Suite, Zoom, and AI-powered 
    • productivity tools 
    • Previous experience supporting a remote, high-travel executive 
    • Familiarity with the health & wellness industry is a plus but not required
    • Fluent English – Exceptional written and verbal communication skills
    • Fully remote position with a collaborative and supportive team
    • 2 weeks PTO.
    • Salary range of $2,500 - $3,000 USD per month
