We are looking for a detail-oriented and reliable Virtual Administrative Assistant with proven experience working in the automotive shop industry in the U.S. This remote role supports day-to-day operations of an auto repair or body shop by managing administrative tasks, streamlining communication, and improving customer service from a virtual setting. Key Responsibilities:

  • Handle incoming customer inquiries via phone, email, and online platforms.
  • Schedule appointments for vehicle service, repairs, and inspections.
  • Create and manage digital work orders, estimates, and invoices.
  • Coordinate with on-site shop staff (mechanics, service writers, parts managers) to ensure timely service delivery.
  • Track parts orders, vendor communication, and inventory levels.
  • Maintain accurate records of customer information, vehicle history, and service schedules.
  • Support bookkeeping tasks such as processing payments, reconciling invoices, and generating daily reports.
  • Use shop management software to update jobs and communicate progress to customers.
  • Assist with digital filing, email management, and internal team coordination.
  • Provide excellent virtual customer service to maintain customer satisfaction and retention.

Qualifications:

  •  2+ years of administrative experience in an automotive repair or body shop (U.S.-based experience preferred). 
  • Familiarity with industry-specific software such as Mitchell1, CCC One, Shop-Ware, Tekmetric, or RO Writer.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Strong written and verbal communication skills.
  • Exceptional organizational skills and the ability to multitask in a virtual environment.
  • Comfortable working independently and communicating with on-site teams.
  • Knowledge of basic bookkeeping and customer service principles.
